Tantalon by Apsivo · Intelligence at the work

Find the leaks. Fix the problem. Keep the margin.

Tantalon reads your project data wherever it already lives — Procore, MS Project, Google Drive, SharePoint, Dropbox, OneDrive, Box, even the email threads where jobs really get coordinated. We meet your operation where it is, surface the leaks the day they happen, and work with your team to close them. The dashboard your project executive opens with their coffee — sharper bids and bigger margins come right behind.

// 01 · THE LEAKS

Two leaks that quietly drain every active project.

After looking at real-world data across mid-market GC operations, two patterns show up on almost every project. They're not exotic. They happen every week, on every job — and almost nobody adds them up. We do.

// LEAK 01 · ADMIN BLEED

Your PMs spend a third of their week on RFI admin.

~8 hrs / week / PM on RFI drafting, chasing, and follow-up

Drafting the question. Chasing the architect. Logging the response. Closing the loop. None of it is the work you hired a PM to do — and at $90K–$150K loaded, that admin time is real money. Tantalon drafts the question, auto-chases the response, and auto-closes the cycle. The PM goes back to running the job.

→ ~70% recovered. Roughly 5.5 hrs/week back per PM.
// LEAK 02 · CYCLE-TIME AGING

Change orders sit. Each day on the wrong side costs cash.

~8 days avg gap between when a CO should clear and when it does

Every change order has a historical owner-review cycle. When one drifts past that pattern, your float is somebody else's float. Tantalon watches every active CO against the historical curve and flags the ones aging out — before they cost you a quarter of cash flow. One catch a quarter is worth the contract.

→ Float recovered. One flag a quarter pays for the engagement.
// 02 · RUN YOUR OWN NUMBERS

Your workflow. Your rate. Your leak — to the dollar.

No assumptions about your business. Enter the four numbers you already know — projects, RFIs per project, hours per RFI, and your blended rate — and the calculator shows exactly what RFI admin is costing you a year. Then it shows what Tantalon gives back. The leak figure is your data; nothing to argue with.

// LIVE CALCULATOR · YOUR INPUTS

What RFI admin really costs you.

Move any input to match your operation. Defaults reflect real mid-market GC figures: ~8 hrs per RFI lifecycle (Construction Industry Institute anchor) and a $125 blended PM/super rate. The right column recomputes as you go.

We're not claiming RFIs go to zero. A full RFI runs ~8 hours — ~2 drafting, ~4 chasing the answer, ~2 logging and closing. The last ~2.5 hours is real judgment (getting the number) — that's the ~30% baseline you'll always carry, and we don't touch it. Tantalon automates the other 5.5 hours of pure clerical work: ~70% recovered. It's a share of the work, so it holds at any volume or rate.
Every figure is yours. The leak is your four inputs multiplied — we add nothing. The only Tantalon assumption is the 70% clerical share, anchored to Construction Industry Institute RFI-lifecycle data and independently tunable in a pilot against your own before/after baseline.

The full Tantalon scope.

Each module reads a different source of jobsite truth and reports back to the Enterprise Command Center. Open any one for detail. Modules marked * are in active development.

Live In development / release pending

Scores every open RFI by ball-in-court severity against AIA A201 thresholds, so the items quietly bleeding margin rise to the top before anyone has to ask. This is the headline leak detector.

Streams Procore RFIs and submittals into the Command Center the moment they're filed — no manual refresh, no overnight delay. The dashboard is always current with the field.

Measures each item's float against its actual delay to project the real schedule slip and assign a risk level — turning "we think we're behind" into a number you can act on.

Attributes GC overhead and liquidated-damages dollars to each delayed item, day by day, so the cost of a stalled RFI or change order shows up in real dollars — not vibes.

Grades every party A–F on both active and passive impact — who's causing delay and who's quietly absorbing it — so accountability conversations start from data, not gut feel.

Runs the same schedule, cost, and grading engine on submittals — surfacing the approvals aging out before they gate procurement and stall the job.

Reads the free text in daily field reports to surface latent RFIs, schedule signals, and manpower drift that never made it into a formal log — catching problems while they're still cheap.

The one-page executive rollup the owner and PE both open first. Every module reports up to it; the headline exposure number — and the actions to clear it — live here.

Scores a prospective job's risk profile before you bid — pulling from historical performance on similar scopes, owners, and trades — so you price risk into the number instead of discovering it on site.

Reconciles cost and billing data to accelerate the monthly close and flag variances before they reach the P&L — turning a multi-day scramble into a reviewed report.

Tracks closeout punch items to protect retention and final payment — the last place margin leaks on an otherwise clean job, and the one most often left to spreadsheets.

Tantalon doesn't ask your operations team to switch tools. It reads the data wherever it already lives. You don't need a $700-per-seat platform to get real intelligence — we work with the stack you've already built.

// 05 · WHAT IT'S WORTH

The leaks become margin. The margin compounds.

Recovered admin is the first quarter's win. The saved hours go back into bidding more work — and your win rate climbs because you have more time to qualify the deals. By year one, the same operation runs more projects, on tighter margin, with fewer crisis Mondays.

5.5hrs

Back per PM · per week.

The admin time you stop paying for. Use it to bid more work, walk more sites, or keep the ones you have on track.

$150K+

Per project · per year.

Conservative recovered exposure on a typical engagement. Problem projects pay back inside the first quarter.

+2–4pt

Net margin lift · firm-wide.

Two to four points of margin recovered across the book once the system is fully wired. Owner-facing conversations stop being defensive.

// 06 · CASE STUDY

One project. The kind of leak only the data catches.

MERIDIAN BUILDERS · COLUMBUS, OH

$677K of exposure, surfaced in three days.

Mid-size GC. Eleven open RFIs and eight pending submittals on a $14M project we'll call Northgate Crossing. Three days into the engagement, Tantalon traced $199K of combined exposure to one electrical sub — and another $478K spread across schedule and cost. The PM team had been chasing the wrong fire for two weeks.
